Workplace policy essentials
Office mode requires both the office location and recognized office network. WFH, offsite and emergency modes require a documented reason and may need approval.
Annual Leave applications must be submitted before the leave date and require one approval from your supervisor (or HR/Admin if you have no assigned supervisor).
MC must be submitted not more than 2 working days after the MC date, with a photo of the certificate.
Manual entries added by Admin/HR for WFH and MC require an approval document reference/link.

Why is my clock-in Pending? Late/early thresholds and other review triggers
A clock-in/out is auto-approved only when you're on Office mode, punching from the recognized office location and network, within the grace window below. Anything outside that is held for your supervisor/HR/Admin to review, even if the reason is legitimate.
Late clock-in
Clocked in after 09:15 — the scheduled start (09:00) plus a 15-minute grace period.
Early clock-out
Clocked out before the scheduled end time, 18:00.
Unscheduled WFH / Offsite
Work mode does not match your assigned schedule for that day (a recurring pattern or an approved override).
Emergency
Emergency mode always requires review, regardless of timing, since it bypasses the normal location/network checks.
Forgotten / correction
You manually requested a missing or wrong clock-in/out time, e.g. after a system outage or a missed punch.
Flexible-hours staff and days with an approved schedule override are exempt from the late/early check above. Admin, HR and CEO can change these thresholds under Administration → Work rules → Schedule and leave rules.

Pending requests are leave, MC, WFH and replacement-leave applications employees submitted for approval. Annual/Compassionate Leave need 1 approval; other types need 2. CEO has view-only access here — a supervisor, HR or Admin makes the decision.
Attendance exceptions and corrections are attendance records that could not be auto-approved, plus manually submitted corrections for a missed punch. Supervisor, HR, Admin or CEO can decide these; Admin/CEO are also the only roles who can override a locked payroll month.
A Supervisor only sees and decides requests from employees in their own department (Marketing and IT route to Operations supervisors). HR, Admin and CEO see every department.
A clock-in/out is auto-approved — no entry appears here — only when the employee is on Office mode, punches from the recognized office location and network, and the time is within the grace window below. Anything outside that — late, early, unscheduled WFH/Offsite, or Emergency mode — is held here for review, even if the reason given turns out to be legitimate.

Password Reset Requests
Staff can request a password reset from the login page. Approval generates a one-time code that is shown once, expires after 30 minutes and must be relayed securely.
Email Change Requests
Staff can request to change their own email from Account & Security. Approval updates it immediately, signs them out everywhere, and emails a notice to both the old and new address.

Why this exists Punctuality and WFH are visible company-wide, not just to your own supervisor
Every attendance-tracked employee's on-time rate, average clock in/out time, WFH days and absences for the selected month, regardless of which supervisor or department they're in. CEO and Admin always see everyone here; a Supervisor sees their own department team, same as elsewhere. Change the month using the month picker at the top of the page.

For security, the SMTP password is never stored in this database. Set it once as an encrypted Cloudflare secret from a terminal with access to this project: wrangler pages secret put SMTP_PASSWORD --project-name cofundr-hrm, then paste the password when prompted. Everything below is non-secret configuration only.
Login security
Controls how many wrong passwords in a row lock an account out of logging in, and for how long. A lower attempt count and a longer lockout are more secure but also more likely to lock out a legitimate person who mistypes their password a few times -- balance this against how often that's actually happening for your team.
Access by role
Choose which company workspaces each role can use. The internal workspace stays available to every active role. CEO and Admin always have full access to every workspace and tool, in every department, and can't be restricted here.
